Seven signs your business has outgrown spreadsheets
Spreadsheets are a great start. Here is how to tell when they have quietly become the bottleneck.
Spreadsheets are one of the most useful tools a growing business has. They are flexible, familiar and free to start. But there is a point where the flexibility becomes the problem.
1. Several versions of the truth
If "the latest file" is a question people have to ask, your data is already drifting apart. Every copy on a laptop or in an email thread is a separate version of your business.
2. Reports take days, not minutes
When a simple question — what did we sell last month, by branch? — needs someone to merge files by hand, your reporting depends on one person's time.
3. Stock numbers you do not fully trust
If staff physically check shelves before confirming an order, the system is not doing its job.
4. No clear record of who changed what
Spreadsheets rarely tell you who edited a figure or why. For money and stock, that matters.
5. Access is all or nothing
Either someone can open the file, or they cannot. There is no way to let a cashier record sales without also seeing margins.
6. Work is repeated
The same customer or product details are typed into three different sheets.
7. Growth makes it worse
A new branch, a new product line or new staff multiplies the files instead of fitting into one system.
What to do next
You do not need to replace everything at once. Start with the process that costs the most time or causes the most errors — often sales and stock — and move it into a single system with proper roles and reporting. That first step usually pays for the conversation about the next one.
